Login Screen


Gaining access to your Webpipe.net Groupware session requires only a few bits of information from you. First off, you must know your user name and password. If you do not know what those are, contact your Department Manager or the System Administrator.

Once you have acquired your Username and Password, enter your Username and Password in the text boxes provided. You must also select the appropriate Domain assigned to your account from the drop-down menu. The Domain may reflect your place of Employment. When all required fields have been filled, click the [Login] button.

The Webpipe.net Groupware application will contact the System Server and perform authentication of the information you have provided. This may take a brief period of time depending on network and/or server load at that given time. Once authentication of your login has been confirmed you will be sent to your Default Entry Page. The Webpipe.net Groupware application may be set to default to your Calendar Module Day View. This can be changed in your personal preferences discussed later in the manual.



ACL - Access Control Lists

Allows to grant other people access to your data on a per user of per group basis.

The principle of the ACL is to grant access, that means:

  • You can say: user x or group y are allowed to read my data

  • The admin can say: all members of group x allow each other or an other group or user to access there data

  • Access can be granted for the following levels (and each mixture of them):

    • Read - read non-private (!) data

    • Edit - change data

    • Add - add new entries

    • Delete - delete data

    • Private - access data marked as private (can not be granted on group-level))

  • Not all Webpipe.net Groupware applications have ACL and/or all of the above levels implemented


Where to set these
grants in the ACL:

  1. On a per user basis, each user can do it in his preferences for each app: Grant access

  2. On a per group basis, an admin can set it in admin / group-manager (Group accounts) by clicking on the blue squares behind some app (not all apps implement group level ACL)


Good ACL practices for admin's

  • Create groups by function and assign people to them, have one group with all users

  • Assign ACL's only on group level


Examples

  • Set up a group so that they can e.g. read / see each others calendar:

This can be archived most easily with a group-ACL's. That way it works not only for users who are in that group at the moment, but also for users added later and its automatically removed if the user is removed from that group. Go to 'Admin / Group accounts' and edit the concerned group. In the edit view click on the blue square in the ACL column behind the calendar app. This will open another window with the ACL for that group and the calendar app. Now you check read-access for the group itself.


  • Allow a secretary to "manage" my calendar:

Manage means to be able to add appointments in my calendar and confirm them on my behalf. You have to grant the secretary or assistant read, edit and add access to your calendar. Go to your preferences and start Calendar / Grant access. Check read, edit and add for that user. He can then select your calendar in any view and add appointments to it.



Address Book

The Address Book is an application to manage customer (or other) contact-information and link those with other Webpipe.net Groupware applications.
You can import and export contacts in formats like LDIF, CVS or VCard and administrate them via SQL or LDAP.


Address book interface

  1. Search for a contact or choose: There are three different ways to search for a contact. All three can be used simultaneously. If you click the [search] button, a list of addresses appears which correspond with the search criteria. You can navigate through the list with the green arrows.

    • Left: choose a category:

      • All = the entire Address book

      • Category = (e.g. customer, marketing department, sales region...)

Only the addresses that are in the selected category are shown.

Here you can search for text strings in the address data, e.g. a name, a city, or a part of a telephone number (e.g. (801) 399). Following, all! Fields of the Address book are searched and those addresses are shown where the searched text is found.

Regard: Functions only if in the next selection box 'all' is selected!

    • Right: choose a filter: selection window with 3 possibilities:

      • Show all: shows all addresses of the Address book

      • Only yours: shows only those addresses that you created, which means you are the owner.

      • Private: shows only your private addresses, which means addresses that are marked private and of which you are the owner.

  1. Selection line to choose initial letters [A] - [Z] or [all]:

    • Initial letter [A] - [Z]: searches a text specifically for the chosen letter, e.g. for [B] shows all contacts where a [B] is an initial letter in any field.

Attention: Does not function in combination with the search for a contact of the line above!

    • [All]: if you choose [all], you can search for addresses / personal data with the search for a contact!

  1. Address book list: shows a table of the chosen addresses, ordered alphabetical by [Full Name]. Addresses with 'empty fields' are shown first. If you want another kind of order, e.g. by [Company Name], click once on [Company Name] for order A - Z, or twice for Z - A. If in the line above no criterion is chosen, the whole list of addresses is shown. Which fields are shown in the table can be specified in the address book preferences.

At the end of the table 3 different symbols and an [] (empty small box) are located, that lead to the following applications:

  • Viewing a contact:

  • Deleting a contact:

  • Marking a contact: []

If you click this small box, a [check] appears in the box and the address is selected/marked.

Several addresses can be marked one after another and together the selected data can be deleted or exported ...

  1. Button [Delete] on the right side underneath the address book list: All marked data will be deleted - before they are finally deleted you will be queried the same way as when deleting a contact.

Adding a contact


Contact Management under Webpipe.net Groupware is quite robust and dynamic. You can not only add basic information like First and Last names but also Postal Codes, Cell Phone Numbers, Home and Work information, and also Notes specific to that contact. The Webpipe.net Groupware suite also allows you to dynamically link your contact information to your Calendar and/or Info log entries. This feature of dynamic linking is nice for tracking contacts either by name or events and also to provide histories for each individual contact.

For example, if your job was to provide technical support, you could add individuals to your Address Book and track their support history calls via Info log. Each time that individual calls for tech support, you would create the Info log entry and attach his or her contact information from your Address Book. In the future, you could look up that Contact in your Address Book and display not only that contacts information you stored in the Address Book but also show all Info log entries for that contact.

To add a Contact to your Address Book, Click the Address book Icon on the Top Menu Bar. This will display your current Address Book entries. On the bottom of the contact listing you will see a number of buttons labeled ADD, ADD VCARD, IMPORT CONTACTS, ALT. CSV IMPORT, and EXPORT CONTACTS. Since we are just going to add an individual contact into Webpipe.net Groupware, click the ADD button. The Webpipe.net Groupware suite will now present you with the Address Book Entry Form as illustrated above. Enter all known information into this form. At the bottom of the Contact Entry Form you will notice a Category Selection Field. This may or may not show entries. This feature is useful for organizing entries into Specific groups. Using an Insurance Company Contact as an example, you could create a category named 'Insurance Company' and link the contact to that category.

Once complete, click the SAVE button on the bottom of the form. If you do not wish to save this information click the CANCEL button.

  • NOTE - The Webpipe.net Groupware Address book allows you to flag contact entry information as being PRIVATE TO YOU. When Adding a contact you wish to keep private, click the PRIVATE checkbox near the bottom of the Contact Entry Form. Keep in mind, even though the entry is flagged as PRIVATE you do have to option to GRANT ACCESS to private entries to other GROUPS or USERS in the GRANT ACCESS option in Address Book Preferences.

Adding an email sender to the Address Book


To add an email sender to your Address Book, you can either

  • Create a new contact entry

    • By clicking on the card symbol directly behind the email name in your Email Application. You will be directed to the View Contact screen and this generates a new contact in the Address Book with yourself as owner

    • By clicking on Add Contact and entering all necessary data

    • By Adding a Card to the Address book

  • Or complement a contact with a email address by editing this contact

Editing a contact


Use the edit button to edit a contact in the Address Book list.
The display shows a template where all contact data can be entered. Some of this can be used by other applications like Email or Direct-Dialing.
The template is separated in some sections

  • Personal: You can enter name and birthday

  • Business: Here you enter all business data like company name and address, email / URL, phone numbers

  • Home: You can enter all necessary private data

  • Notes: Some basic information about the contact that will be displayed viewing the contact

  • Mark the contact as private

  • Choose a Category to structure your contacts and manage them more easily

Save your entered data, leave without saving (cancel) or remove the contact.


Grant Access to Address Book


Granting Access to your Address Book for other users to see is simple. One plus to sharing contact information would be the avoidance of double entries and having the ability to modify one entry for all to see the change. Say for instance the contact entry for an Insurance Company. Within the contact information for that insurance company you may place the insurance adjusters name and phone number. If that adjuster has moved to a different department and a new adjuster is now taking over, anyone with granted access to that contact can update the fields and all users who have access to that contact will see the change.

To Enable Address Book Sharing / Grant Access, click on the preferences link in the General Menu Box, then click the Grant Access link under the Address Book heading. You will then be able to select who will have access to your Address Book. There are 3 privileges you can grant. READ, EDIT, and DELETE. You can grant privileges to GROUPS or to specific USERS. If not all USERS are shown; click the GREEN ARROWS located on the top row to advance to the next page. When you have completed Granting Access, click the SAVE button.

  • TIP - In large companies, it may be more functional to Grant Access to GROUPS as opposed to individual users.

Searching for a contact


You can enter 3 criteria that can be combined.

  • A category that can be All or any defined category (e.g. customer, supplier,)

  • A text-string that will be searched for in all!! Template entries of the Address Book

  • A filter for Show All, Only Yours, Private

All matching entries will be displayed after clicking the [Search] button.


Calendar

The Calendar application provides the same type of scheduling functionality as most calendar applications.

Overview

The main screen can show one day, week, month, year, planner, or a Daily Matrix View. The Calendar is fully integrated with the ACL (Access Control List), so you can use it to securely share group appointments.


Switch between the different available views


It's possible to switch between the different available views of the
calendar. You have to click one of the buttons on the left site:

  • Day View button : shows the current day (today)

  • Week View button : shows the current week (This Week)

  • Month View button : shows the current month (This Month)

  • Year View button : shows the current year (This Year)

  • Planner View button : shows Planner with date definition for several users

  • Matrix View button : shows user specific utilization per day, week and month

Day View


Shows the current day with all dates and a summary of (Open To Do Items) of
InfoLog. It's possible to switch between different users or user groups (if you're allowed to Grant Access).

On the left side at the top are 6 symbols (buttons) to

Then you've the choice of

  • Category: choose (All) or a certain Category of Calendar

  • Filter: choose between (All) or (Private Only) appointments (depends on your Grant Access)

  • User: choose a certain user or a user group

  • Text Box (Search): search in Calendar for any text or words (q.v. Searching for an appointment)


Left hand site is shown the current date and the chosen user or user group. Under it you'll find the date definition of the chosen day and user / user group.
Click one of the shown appointments and you'll be directed to Appointment. The Icons stand for (compare also with scheduling an Appointment:

  • Icon : high priority appointment

  • Icon : single appointment

  • Icon : a repeating appointment

  • Icon or : participate user(s) or user group(s).

Move the mouse over the Icon or and it shows you all involved users and the current status of date in a small frame.

Right hand side there is a monthly overview. Click one of the days and the
Day View will change. End of side you can choose another month, week or year.
In addition, right hand side there is a summary of (Open To Do Items) of
Info Log. Click one of the entries and you'll be directed to Info Log View Subject.

Finally you can click the button [Import] for Import an Appointment.


Week View


Shows actual weekview with all scheduled dates of all users and user groups if you got the needed access authorization.

Left up are six different symbols to

  • Categories: here you are able to choose some or all categories you want the entries to work with.

  • In Filter you are able to choose between (all) and (only private) appointments.

  • In (User) you can choose users or user groups you want to see entries of. Webpipe.net Groupware will show all user and user groups you are authorized for.

  • Input field with button [search]: here you can enter any text you want to search in all the calendar entries.


Underneath the Webpipe.net Groupware shows the chosen week and the chosen user or user groups. The chosen appointment overview and the users are edited in a weekview. If you click on one of the edited appointments, you change automatically to
View an Appointment

next follows an overview with 3 month and arrows (<<) (>>) to scroll forward and backward. In the middle is the month of the chosen week, left the previous month and on the right the following month.
The icons in front of the title means: (in comparison to
Editing an Appointment

  • Icon : high priority appointment

  • Icon : single appointment

  • Icon : a repeating appointment

  • Icon or : participate user(s) or user group(s).

If you station the mouse over the appointment title, you will get a complete description in a small extra frame. If you station your mouse over the icon or you get the information of all participating users or user groups with their actual participation status.

For
Scheduling an Appointment you only have to click on the icon behind the needed date.
For printing an appointment you have to click on the button [print view]. It will open a new window in which you can print the appointment by using the standard-windows-icon.

At the bottom of the page you are able to change the actual shown date by clicking one of the three areas to go to another (week), (month) or (year). On the right side you have the possibility to import new appointments by clicking the button (import).




Month View


Shows actual

In the middle is the actual chosen month, left the previous month and on the right the following month. Underneath is a scheme of the actual month with all days, appointments and chosen users. If you click on one of the edited appointments, you change automatically to
View an Appointment.
The icons in front of the title means: (in comparison to

Below the three windows, you see the actual year (e.g. 2005) and two arrows (<<) (>>) to scroll forward and backward.

Underneath the "written" year comes the scheme of the year with all months and days. If you click on a certain month, you come automatically to the according
Month View; if you click on a certain day, you come automatically to the according Day View.

For printing a
Year View you have to click on the button [print view]. It will open a new window in which you can print the appointment by using the standard-windows-icon.

At the bottom of the page you are able to change the actual shown date by clicking left to go to another (month) or (year). On the right side you have the possibility to import new appointments by clicking the button [import].


Planner View


The
Planner View shows your group planner with all appointments and participating users and user groups in dependency to your access authorization. The overview can be ordered by categories or users and is indicated in a Month view.

Left up are six different symbols to change to different views of the calendar:

  • Categories: here you are able to select some or all categories you want the entries to work with.

  • You can choose between category and User

  • In (User) you can select user or user groups you want to see entries of in dependency to your access authorization

  • Inputfield with button (search): here you can enter any text you want to search in all the calendar entries.


The following Planner View shows a chart with

  • The selected month and two arrows (<<) (>>) to scroll forward and backward

  • All weeks and days of the selected month

  • All appointments of all user and user groups in dependency to your access authorization

Ordered by

  • Category: the chart includes a new row for each category with all appointments of the selected user and user groups.

  • User: the chart shows a row for each user and user group mentioning all appointments.


If you click on an appointment you switch automatically to view appointments. If you station the mouse over the appointment title, you will get a complete description in a small extra frame. If you station your mouse over the icon or you get the information of all participating users or user groups with their actual participation status. For
Scheduling an Appointment click on the day in the chart.

For printing an appointment you have to click on the button [print view]. It will open a new window in which you can print the appointment by using the standard-windows-icon.

At the bottom of the
Planner View you could change the month and the year in the option window on the left. In the option window in the middle you can select the number of month shown in the overview and on the right you have the button [import] to import new appointments.


Matrix View


Shows a chart (overview) with all appointments as daily matrix or weekly matrix for all users and/or user groups in dependency to your access authorization.
